All families must complete an enrolment form before the child can participate in the programme.
Bookings are confirmed only on receipt of enrolment form via online booking through Aimy Plus.
Enrolment form must be completed in full including child’s name, address and home phone number, emergency contact details, authorised persons to pick up a child, doctors name and contact number, any health problems/food allergies, any other information necessary to provide proper care, permission to go on outings off site and permission to undertake emergency medical treatment if necessary.
Enrolment form is complete when it has been filled in, signed and submitted to Kids Hub Wellington.
Before school care is provided between 7:30am - 8:30pm, our after school care programme is provided between 3:00pm - 6:00pm Monday to Friday during term time excluding public holidays. Our holiday programme hours are from 8:00am - 6:00pm. Kids Hub Wellington is not responsible for any child before or after these hours stated.
If a child is collected after the end time outside of our programme hours later than 6:00pm a late fee will be added at $1 per minute, as our online booking software when signed out is through Aimy Plus and is in real time for the safety of all children booked in on our programmes.
If a child becomes ill during the day the parents/caregivers will be notified immediately and may be required to pick up the child, if parents cannot be contacted then their next of kin or emergency contact will be notified.
Kids Hub Wellington staff cannot take responsibility for caring for sick children and have a responsibility of ensuring the well being of other children so please leave sick children at home. Sick children will not be accepted on to any of Kid’s Hubs Wellington Programmes.
Any cancellations made on a booking require five days notice by sending an email to Kids Hub Wellington.
Kids Hub Wellington must be notified as soon as possible if a child will not be attending no later than 8:00am on the day to maintain staff ratios.
Fees are to be paid directly into the Kids Hub Wellington bank account provided. Payment is required to secure the child’s booking and full payment is to be paid by the commencement date stated one week before the start date.
For holiday programmes parents/caregivers in need of a payment plan can pay weekly instead of paying the amount in full are able to set up a weekly payment into the Kids Hub Wellington bank account a week in advance of the commencement date of the holiday programme.
Once a booking has been received by Kids Hub Wellington for Before and after school care and holiday Programme there will be no refunds except in extraordinary circumstances and at the discretion of the manager and has given two weeks notice before expected attendance at the holiday programme or Before and After School Care.
No refunds are given for absences or any cancellations to a prior booking.
If Kids Hub Wellington has not received payment a week before the commencement date, your booking will be withdrawn.
If Kids Hub Wellington has provided care for a child and late payment has occurred and still not paid after the programme ended the parents will be notified by the manager verbally then by written invoice, if fee’s due still remain outstanding then a meeting will be called with the parents to arrange a suitable payment plan, the child/children may be excluded from all programmes until satisfactory arrangements have been made.
Two weeks notice is required for leaving before or after care programmes, the full fee still applies during the two week notice period.
Information on enrolment forms will be shared except with the individual’s permission, unless required by legislation, for example the Health and Safety Act. All personal information shared in discussion between staff or at staff meetings will remain confidential.
Contact details of parents/Caregivers and phone numbers of emergency contacts will be made available to staff, medical records and any allergies. Confidential information is kept away from unauthorised persons and is in secure storage locked away.
Parents/Caregivers or authorised persons must sign a child in on arrival and sign out at pick up via Aimy Plus software.
Parents/Caregivers are responsible for their child’s journey to and from school.
If a child will be late or not attending on any given day or if a child must leave earlier than usual, they must inform the supervisors by giving plenty of notice to maintain staff ratios.
Parents must inform staff if a person who is not already listed on the child’s enrolment form will be collecting the child, children will not be released to go with a person that is not on their contact list.
Parents are responsible to provide their child with appropriate clothing. These include sunhats, warm and spare clothes.
All Children will be responsible for their own behaviour, if a child continually misbehaves the parents/Caregivers will be notified when they pick up the child and ask you to support your attempts to encourage the child to behave.
If a child continually misbehaves in a manner that endangers them or other children, parents will be notified and asked to remove the child.
If a parent/Caregiver wishes to make a complaint about staff or the programme, they should first address their concerns with the supervisor, if this does not resolve the issue then they may speak with or address their concerns in writing to the manager. The manager will initially respond within five working days.
Exclusion from Liability
Kids Hub Wellington are not liable for any stolen property or damages during the child’s attendance on any of the programmes provided or any injuries sustained and/or medical costs whilst attending a programme.
